This Privacy Policy describes how Axgenta Technology ("Axgenta," "we," "us," or "our"), located at 2307 Richmond Ave, Petersburg, VA 23803, USA, collects, uses, discloses, and protects information when you use our websites (axgenta.com and app.axgenta.com) and our meeting, task, and project management services (collectively, the "Service"). It is designed to meet the requirements of the EU General Data Protection Regulation (GDPR), the UK GDPR, the California Consumer Privacy Act as amended by the CPRA (CCPA/CPRA), Canada's PIPEDA, and other applicable privacy laws.

By using the Service, you acknowledge this Privacy Policy. If you do not agree with it, please do not use the Service.

1. Roles: Controller and Processor

For account, billing, website, and marketing data, Axgenta acts as a data controller. For content your organization stores in the Service — meeting records, agendas, minutes, tasks, projects, files, and reports ("Customer Data") — your organization is the controller and Axgenta acts as a data processor, handling Customer Data only on your organization's instructions. A Data Processing Addendum (DPA), including Standard Contractual Clauses where required, is available on request at [email protected].

2. Information We Collect

• Account Information: name, business email address, job title, company name, workspace role, and profile details you provide.
• Customer Data: the content you and your team create in the Service (meetings, minutes, decisions, tasks, projects, comments, attachments, ratings).
• Payment Data: billing contact and transaction details. Card payments are processed by PCI-DSS-compliant third-party payment processors; we do not store full card numbers on our servers.
• Usage & Device Data: log files, IP address, browser type, device identifiers, pages viewed, feature interactions, and timestamps, collected for security, diagnostics, and product improvement.
• Communications: messages you send us through contact forms, email, chat channels, or support requests.
• Cookies & Similar Technologies: strictly necessary cookies for authentication and security, plus analytics cookies as described in Section 9.

3. How We Use Information

• To provide, operate, maintain, and secure the Service;
• To process transactions and manage subscriptions;
• To send service communications (security alerts, reminders you configure, billing notices, material changes);
• To respond to support requests and demo inquiries;
• To analyze aggregated usage and improve performance, reliability, and features;
• To detect, prevent, and investigate fraud, abuse, or security incidents;
• To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising as defined by the CCPA/CPRA. We do not use Customer Data to train generalized AI models.

4. Legal Bases for Processing (GDPR/UK GDPR)

• Contract: processing needed to provide the Service you or your organization signed up for;
• Legitimate interests: securing and improving the Service, preventing abuse, and business communications, balanced against your rights;
• Consent: optional marketing communications and non-essential cookies (withdrawable at any time);
• Legal obligation: tax, accounting, and lawful requests from authorities.

5. How We Share Information

We share personal information only with:

• Service providers (sub-processors): hosting, email delivery, payment processing, and analytics vendors bound by confidentiality and data protection obligations, and only to the extent needed to run the Service;
• Your organization: workspace administrators can access content and activity within their workspace according to the roles they configure;
• Legal and safety: where required by law, subpoena, or court order, or to protect the rights, safety, or property of Axgenta, our users, or the public;
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy's protections and notice to you.

6. International Data Transfers

We are headquartered in the United States and may process data in other countries through our sub-processors. Where personal data is transferred out of the EEA, UK, or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum, together with technical and organizational measures.

7. Data Retention

• Account data is retained for the life of the account and deleted or anonymized within a reasonable period after closure;
• Customer Data is retained while your subscription is active; after termination, your organization has a 30-day window to export it, after which it is scheduled for deletion from production systems (backup copies expire on a rolling basis);
• Billing and transaction records are kept as required by tax and accounting law;
• Log data is retained for a limited period for security and diagnostics.

8. Security

We apply industry-standard measures to protect your information, including encryption in transit (TLS), encrypted storage, role-based access controls, least-privilege administrative access, and logging and monitoring. No method of transmission or storage is 100% secure; we cannot guarantee absolute security, but we commit to notifying affected customers and, where required, supervisory authorities without undue delay in the event of a personal data breach, consistent with applicable law.

9. Cookies & Analytics

We use strictly necessary cookies to keep you signed in and to protect against cross-site request forgery. We use privacy-respecting analytics to understand aggregate site usage. Where required by law, non-essential cookies are used only with your consent, and you can control cookies through your browser settings. Disabling essential cookies may prevent the Service from functioning.

10. Your Rights

Depending on where you live, you may have the right to:

• Access the personal information we hold about you and receive a copy (portability);
• Correct inaccurate or incomplete information;
• Request deletion of your personal information;
• Restrict or object to certain processing, including direct marketing;
• Withdraw consent at any time, without affecting prior lawful processing;
• Not be discriminated against for exercising your rights (CCPA/CPRA);
• Lodge a complaint with your local supervisory authority (for the EEA/UK) or the relevant regulator in your jurisdiction.

11. Intellectual Property & Usage Restrictions

Axgenta Technology maintains strict ownership over its digital assets. The following are prohibited:

• No resale: no entity may resell or sublicense the Service without a written contract signed by Axgenta Technology;
• No copying: scraping or reproducing our UI/UX layouts, source code, or content is prohibited;
• Trademark: the name "Axgenta," the Axgenta logo, and axgenta.com are the exclusive property of Axgenta Technology.

12. Children's Privacy

The Service is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

13. Third-Party Links

Our websites may link to third-party sites and services (for example, LinkedIn, WhatsApp, or Telegram). Their privacy practices are governed by their own policies, which we encourage you to review.

14. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced on this page with an updated "Last Updated" date and, where the change significantly affects how we handle personal data, by direct notice to account owners. Continued use of the Service after the effective date constitutes acceptance of the revised Policy.
